Booking ,Terms & Conditions

Please read our terms & conditions carefully before consenting to our agreement. All of our policies are transparent, and we do not incur any hidden clauses or charges. online booking form

While booking any trip (trekking, tour, climbing, or other outdoor activities), you will be bound by our terms & conditions. Below you can learn about our booking confirmation, payment, refund policy, booking procedure, cancellation policy, and other things. You will be agreeing to be bound by our terms & conditions while booking any trip with us. payment process 

Booking Policy

Our best advice is to have at least two to three months of preparation time before the commencement of the trip. It will give us enough time to ensure the maximum safety and satisfaction of the client. And allow us to arrange all the necessary documents related to the trip.

Below is the term of payment:

  • You have to pay 30% of the total cost of the package for advance to confirm the booking
  • Before 20 days of the starting date of the trip, you have to pay 40% of the full amount
  • The remaining 30% of the package cost can be paid upon arrival in Nepal

Documents for Booking

  • These documents are used to get the necessary permits for the trip.
  • scanned copy of your Passport
  • Passport size photo in jpeg format (proper for printing)

Note: 

If you fail to make the payment on time, then Mystic Adventure Holidays will not be obliged to provide the services as per the booking agreement between us.

In some cases, we do take last-minute bookings (15 days before the departure date). You have to pay full payment for a last-minute booking to confirm the trip.

Cancellation

 Extra night accommodation in the city (Kathmandu and Pokhara) in case of early arrival, late departure, or early return from the mountain (due to any reason) is not refundable.

Amendments

To make any amendments to the venture, do let us know two weeks before in written form. If any government permits, flight tickets, or insurance have been issued and cannot be revoked or refunded, you will be liable for these costs. You may also be liable for the cancellation of airfares purchased on your behalf.

Cancellation Policy

If cancellation is done by the Client:

You have to cancel a written form, which must be approved by the Company. The date on which the request to cancel is received by the Company or its Representatives will determine the applicable cancellation charge.

The cancellation charges are executed hereafter as a percentage of the total tour price:

  • Cancellation 40 days or more before departure: 25% of the full payment will be deducted
  • Cancellation 20 days before departure: 50% of the full payment will be deducted
  • Cancellation less than 7 days before departure: 80% of the full payment will be deducted

The Client is encouraged to take out cancellation insurance at the time of making the booking.

*Note: No refunds will be made if you voluntarily leave a trip for any reason after the trip has commenced. No refunds will be made for any accommodation, transport, sightseeing, meals, or services not utilized.

If cancellation is done by the Company:

The Company holds the right to cancel any booked trip, including the guaranteed trip in case of any emergency beyond its control (i.e. natural disasters, flight cancellation, political instability, sickness, quarantine, industrial action, wars, protests, government intervention, weather conditions, or other untoward occurrences). In such cases, Mystic Adventure Holidays will refund the trip cost, or you can postpone the trip or take an alternative venture of the same value.

* Note: Significant alterations do not include a change of airline carrier, flight timetables, or itineraries provided the departure and arrival dates remain unchanged, the substitution of a vessel, modification of itineraries, a change in cabin category or hotel accommodation provided it is of the same category.

The Company is not liable for any subsidiary expenses or consequential damages that the Client may have incurred as a result of the booking, such as visas, vaccinations, non-refundable flights or trains, non-refundable car parking, or other fees, loss of earnings, loss of enjoyment, etc.

Passport & Visa

Your passport must be valid and hold six months of validation from the return date. You can get a Nepalese visa from the Nepalese Embassies or consulates in your country or upon arrival at Kathmandu International Airport. Do know that travelers from some countries cannot get a Nepalese visa on arrival at Kathmandu airport? Obtaining your visa is entirely your responsibility.

You have to submit your complete and correct passport information to book a trip. We will use this information to obtain the necessary fees, permits, and tickets on your behalf so that you do not have to go through this lengthy government process after arriving in Kathmandu.

If you do not provide the correct information when you make your booking, we will not be able to make the necessary bookings on your behalf and cannot be held responsible.

Health & Fitness requirements 

All of our trekking and climbing packages demand some level of physical fitness. You have to be in good shape to go hiking, trekking, climbing, or mountaineering. Moreover, some of our packages also demand previous trekking/climbing experiences. To learn more about necessary physical fitness, check the package's useful information section. 

Before confirming any trip with the guest, we have a small assessment session where we ask about travelers' fitness, and previous experiences and suggest pre-departure fitness instructions. We will inform you about all the things that you can do to prepare yourself for the venture and increase your stamina, muscle power, and confidence. 

If you suffer from any disease or have any allergies, we request that you inform us so that we can advise on the best trip that will suit you and make all the necessary arrangements for you to have a safe trip. 

We do not believe in limiting the trip because of health issues. We work around it and find the best alternatives. Because we have a traveler's soul!

*FYI: Most of our trekking, hiking, and climbing trips happen in the Himalayas, a place where no one can predict anything. Even with our best efforts, things may take a turn. The region we travel to barely has any modern infrastructure, including hospitals, so we may have to air-evacue you in the worst case to offer you quick medical assistance. 

Do know that medical and evacuation expenses are not covered by the company. Therefore, make sure your travel insurance has medical and airlift coverage.

We reserve the right to refuse any person the right to participate in a trip on medical or fitness grounds. If in doubt, we may be able to design a custom adventure that is not detrimental to your health.

Travel Insurance 

Travel insurance is mandatory to join most of the treks and climbing ventures in the Himalayas. Your travel insurance must cover air evacuation, medical bills, illness, accidents, and death. We also recommend you add trip cancellation, flight cancellation, loss of personal baggage, and personal items to the travel insurance. 

If your insurance company does not agree to pay the medical costs on your behalf, then all the expenses incurred by medical bills and air evacuation must be paid in cash. 

Make sure that your travel insurance covers activities in the Himalayas if you are participating in them. 

*Note: Foreigners are not allowed to get travel insurance as per the insurance policy in Nepal. You have to get travel insurance in your country, and it is your responsibility to check whether your insurance policy is adequate or not.

Children 

Underage trekking (below age 16) is possible, however, some extremely strenuous ventures may not allow it unless you match all the criteria. The trekkers must be accompanied by a legally identified guardian during the trip. If you have a question regarding age and suitability, please contact us for further information. 

Publicity of Images and videos 

The Company holds the right to use the image and videos taken by the individual during the trip without compensating them after signing the agreement. The photographs and video will only be used for publicity and promotion purposes through whatever medium. 

Complaints 

You can inform the leader if you have any complaints regarding the trip. He will do everything in his power to make sure you are comfortable. If there is anything that you can not say to the team leader, you can write to us within 15 days of trip completion. We will make sure to take your criticisms into account and improve ourselves.
